I’m Paul Misso, the Vice President of Operations at Patra responsible for Patra Document.

We print and mail any and all documents our customers need. We can print, mail, and package benefit brochures, corporate handbooks, send out notices, or invoices.

Patra’s regular services create certificates, check policies, create endorsements, notices, invoices, etc. We receive those files, print, and mail them to where they need to arrive.

We serve as a big quality check to ensure what goes out is accurate. We will verify if a certificate of insurance is signed, for example.

We take a large piece the administrative responsibilities off our customers’ plates so they can take skilled resources they have, who have been in the insurance industry for over 20 years, and ensure they’re focused on business development.

The second piece is our virtual mail capabilities, we can take over their mailroom operations. We’re here to make our customers’ lives easier.

A new approach to managing print, mail, and virtual mail

Patra document facilitates your day-to-day print, mail, and virtual mail processing. Our service can support with managing your return mail for redistribution, updating contact lists, attaching printed or mailed documentation to your preferred policy and agency management systems and processing customized insurance document management workflows.

Patra’s print shop is a highly automated facility that prints and mails over fifteen million insurance documents per year. With minimal staff, our automation processes small to large custom print jobs created around the globe and prepares them with the most efficient delivery method in the industry.

The process begins with our software, which gathers the print jobs, reads the recipient’s address, and combines like addresses together to reduce multiple mailings.

Cover pages are created for each windowed envelope, which contains the recipient’s address, as well as page counts for the inserted machine. Batch print jobs are sent to multiple printers via remote employees. Once the batches have finished printing, they are quickly reviewed for quality and then loaded into a high speed inserter machine.

The inserger reads the cover page for each envelope to determine the number of pages to be collated and the envelope size needed.

In then correlates and inserts each mailing into the appropriate envelope.

The inserter then seals and stacks the envelopes neatly for the attendant to gather.

The envelopes are already pre stamped with a prepaid sort stamp that eliminates the need for a postage meter.

Afterwards, all outgoing mail is placed into bins to await pickup and distribution.

Hi Team! I wanted to share a quick printing success story. A client had been given three quotes for printing their 4,200 BAAGs. The least expensive option was chosen, which was Staples, but their turn around time after final approval was 10-12 business days to print and then ship…then the shipping time would be added onto that. After a discussion with the producer, it was determined the client could not wait that long and needed the BAAGs this week. Patra received the files last Friday morning (2/28) and all of the guides will be received today. There were 33 locations across the country and to ease our mind that the guides would be received on time, since Friday, Patra would send us a spreadsheet with tracking numbers for the guides that were shipped that day. Patra does cost a little more, but their service and turnaround times are excellent, without having to sacrifice quality! Hope this helps for anyone deciding which vendor to use."

All print jobs are managed through Patra’s secure PatraOne software. Only Print Shop personnel have access to the print queue. Physically, the Print Shop is only accessible through personal access codes. Employees cannot take any documents with them and are not permitted to have any photographic devices on the production floor.

Starting is easy and typically takes a few days to get set up. Our implementation team will work with you to create your profile in PatraOne, provide you the cover page requirements, and document your workflow. There are no mins and no contracts, so you can stop the service any time if you are not satisfied.

These are cover pages that have your specific return address on them and a symbol our software recognizes as a page break. It enables us to process your mail faster. It automates the process and creates accounting verification for the pieces of mail.
